How to compress an image for email

Photographs from a phone are commonly four to twelve megabytes each. Attach five and you have a message most mail systems will refuse, and that the rest will deliver so slowly nobody opens it. The fix is not complicated, but the number to aim for is less obvious than it looks.

Short answer

Aim for about 1 MB per photograph. That is comfortably inside every common limit even with several attached, and still looks sharp on a full screen. Drop to 500 KB if you are sending a batch, or if the recipient is on a corporate mail server.

Mail attachment limits are not one number. Large consumer providers commonly allow around 25 MB per message, but workplace servers are frequently set far lower - 10 MB is ordinary and 5 MB is not rare - and the limit applies at both ends, so the stricter of sender and recipient decides.

There is also a detail that catches people out: attachments are encoded before they are sent, and the encoding makes them larger than the file on disk. A message close to the limit on your machine can be over it by the time it arrives. Leaving real headroom is more reliable than calculating exactly.

The method

Compressing to a target size is different from turning a quality slider down. A slider is a guess; a target is a requirement, and the tool searches for the highest quality that still fits it, then measures the finished file to confirm.

  1. Open the email image compressor and drop in your photo, or several.
  2. Choose a target. 1 MB for one or two pictures, 500 KB for a batch.
  3. Let it solve, and read what it reports - it states the size it actually produced, not the size it aimed at.
  4. Download the compressed copies and attach those instead of the originals.

How small is too small

Below roughly 200 KB a photograph starts to look visibly compressed: soft edges, blotchy patches in skies and smooth walls, a faint blockiness around text. That is perfectly fine for a receipt or a screenshot of a form, and not fine for a picture somebody is going to look at properly.

If a target genuinely cannot be reached without ruining the picture, the tool stops and says so rather than grinding the quality down until some number is technically satisfied. A photograph that has been forced to 20 KB is not a smaller photograph; it is a worse one.

Common mistakes

Resizing when you meant to compress. Reducing a picture's dimensions and reducing its file size are different operations. If the recipient will view it full screen, compress rather than shrink - you can often get a 6 MB photograph under 1 MB with no visible change at all.

Sending the originals anyway. The compressed copy is a separate file. Attach it, not the one your phone put in the folder.

Zipping photographs. JPEG is already compressed, so a ZIP of photographs is essentially the same size with an extra step for the recipient.

Frequently asked questions

Does compressing an image for email reduce its quality?
Slightly, and usually invisibly. At 1 MB a typical phone photograph is nearly indistinguishable from the original on any screen. The loss becomes noticeable below a few hundred kilobytes, which is why the tool reports what it actually produced rather than leaving you to guess.
Should I send a link instead?
For dozens of pictures, or when the originals matter at full resolution, yes - a shared folder is the better tool. For a handful of photographs an attachment is simpler: the recipient gets them immediately, with no account, no link and nothing that expires.
Are my photos uploaded to compress them?
Not here. The compression runs in your browser, so the photograph never leaves your device. That is also why it finishes as fast as your machine can work rather than as fast as your connection can upload.
